London Trip: Payment Due 9/6 and Touch-point Meeting 9/12

We are 113 short days from our trip to London! Please read this entire message, as there is much information here.

Chaperones

We still need more chaperones for everyone to go to London.  Please consider serving as a chaperone.  We would love to have all parent/guardians that signed up for the full package to volunteer.  However, because we have not yet reached the minimum chaperones, we have another option.  We will consider a mix of “flight only” chaperones and “land only” chaperones.  In order to serve as a “flight only” chaperone, you must have signed up for the full trip package.  Your duties will begin at the airport  and end after hotel check-in, then begin again when it’s time to return home.  “Land only” chaperones, will take over for “flight only” chaperones in between, and must have signed up for the “land only” trip package.

Insurance

The Foothill Band Boosters want to ensure that you are fully informed about how this coverage works and how refunds are handled.

As part of your travel package, The Parade has included comprehensive travel insurance to offer you peace of mind during your trip. This insurance is active as of September 1st, 2024. It covers a range of potential issues, including trip cancellations, medical emergencies, and lost belongings.

Now that the Travel Insurance is active, all refund requests must be submitted directly to The Parade. A $400 deductible must be paid if a claim is under Section 1 or 2. There is a $150 deductible if you file a claim under Section 4. We (Foothill Band Boosters) are not authorized to process refunds or handle claims on your behalf. The insurance company will review each case individually and determine the appropriate reimbursement based on their policies and guidelines.

To file a claim or inquire about the status of a refund, please get in touch with the insurance company directly using the contact information provided in your insurance documentation. They can guide you through the process and provide assistance as needed.

Pre-Trip Help Needed

We need several contact points to send data and information to the London Parade. This will involve communicating via email and filling out spreadsheets.

Here is the help we need:

  • Travel Contact – Someone who will compile everyone’s names, passport numbers, or visa numbers
  • Hotel Contact – Will help gather names and student requests for pairing up in the rooms.
  • Equipment Transport Contact—Someone who will help gather instruments and uniforms for transportation. A logistics company will pick up those items for us.
  • Chaperone Lead – Michael is stateside; we need someone on the trip.
  • Food Contact—Someone who will help map the names of all travelers to ensure they have food cards, inform them of allergies, and more.
